Overview

Kwilio Projects includes Apple Intelligence features that use on-device AI to automate time-consuming writing tasks and surface smart suggestions. All AI processing happens privately on your device — no data is sent to Kwilio’s servers or any third party.

Requirements:

  • Premium subscription
  • iOS 18.1+ or macOS 15.1+ on Apple Silicon

AI Project Descriptions

When creating or editing a project, Kwilio Projects can write the notes/description field for you.

  1. Open the Project form (new or edit)
  2. Enter the project Name, Category, and Priority
  3. Tap Generate Description
  4. Apple Intelligence drafts a project description based on those details
  5. Edit the result or use it as-is

This is useful for quickly documenting a project brief before sharing it with your team.

Smart Invoice Generation

The most powerful AI feature in Kwilio Projects. Smart Invoice analyses your project and produces a complete, itemised invoice draft. See the full guide at Invoices & PDF Export.

What the AI generates:

  • Total amount — estimated from tasks, timeline, and project context
  • Line items — individual work items with description, quantity, rate, and subtotal (categorised as Development, Design, Consulting, etc.)
  • Tax recommendations — suggested tax treatment for your type of work
  • Payment terms — e.g. “Net 30”, “Due on receipt”
  • Due date suggestion — based on project timeline
  • Rationale — plain-language explanation of the invoice structure

To use it:

  1. Make sure the project has a Client and at least one Task
  2. Open the project → tap the Smart Invoice button in the toolbar
  3. Review the AI suggestions in the sheet that appears
  4. Tap Apply to populate the invoice form
  5. Adjust any fields and save

What’s Coming

The AI framework in Kwilio Projects is built to expand. Future updates will bring:

  • Task suggestions — AI-recommended tasks based on project type
  • Project recommendations — smart next steps based on project status

These features will be added to your existing Premium plan at no extra cost.

Privacy

Apple Intelligence in Kwilio Projects:

  • Runs entirely on-device using Apple’s private AI models
  • Does not transmit project names, client data, or task details to any server
  • Can be used without an internet connection
  • Is fully disabled when you are not on a Premium plan

To check whether Apple Intelligence is active on your device, look for the availability indicator in the Smart Invoice sheet or Project Description generator. If your device doesn’t meet the requirements (Apple Silicon, iOS 18.1+ / macOS 15.1+), these features are gracefully hidden rather than shown as broken.
