What Is the Menu Bar Extra?
Micro-CRM lives permanently in your macOS menu bar as a small icon (⊙). Click it any time to get a live snapshot of your most important client information — without switching away from whatever you’re working on.
Opening the Menu Bar
Click the Micro-CRM icon in the menu bar at the top right of your screen. A compact panel (320pt wide) drops down showing three sections.
What’s in the Panel
Header
- The “Micro-CRM” title and icon
- An ↗︎ Open button to bring the main window to the front
- A badge showing how many clients are currently waiting on something
Waiting On
Shows up to 10 clients who have a status of Waiting for Money or Waiting for Feedback.
Each row shows:
- A coloured status dot (orange for money, blue for feedback)
- Client name and status label
- Company name (if set)
- Client’s current local time (timezone-aware)
If no clients are waiting, this section is hidden.
Upcoming Follow-ups
Shows up to 5 follow-ups due within the next 3 days, across all clients.
Each row shows:
- A status icon — red if the follow-up is overdue, normal if upcoming
- Follow-up subject
- Client name
- Relative time (e.g. “in 2 hours”, “3 days ago”)
If no follow-ups are due in the next 3 days, this section is hidden.
Quick Times
Shows the current local time for your first 5 clients — useful for knowing at a glance whether it’s a good time to call.
Each row shows:
- Client name and company
- Their local time in a monospaced font
- Timezone offset from your local time (e.g. “+5h”, “-8h 30m”)
Times update every 60 seconds automatically.
Footer
- The current time on your Mac
- A Quit button to close Micro-CRM entirely
All Caught Up State
If there are no waiting clients and no follow-ups due in the next 3 days, the panel shows a large ✅ and the message “All Caught Up!” — a reassuring sign that nothing is falling through the cracks.
Tips
- Keep Micro-CRM running in the background — the menu bar icon is only visible when the app is running. You don’t need the main window open.
- Use it as your morning check-in — a 5-second glance at the menu bar tells you who’s waiting and what follow-ups are due today
- The badge count is your signal — if the number next to the icon is greater than zero, open it to see who needs attention
