Follow-up Tracking

What Are Follow-ups?

Follow-ups are scheduled reminders to take an action with a client — reply to an email, chase a payment, check in after delivery. Each follow-up belongs to a specific client and has a reminder date and time so Micro-CRM can surface it when it’s due.

Adding a Follow-up

  1. Click a client in the sidebar to open their detail view
  2. Scroll to the Follow-ups section
  3. Click Add Follow-up
  4. Fill in the form:

Follow-up Status Indicators

Each follow-up in the list shows a status icon:

IconMeaning
✅ Green checkmarkCompleted
🔴 Red warning triangleOverdue — reminder date has passed and not yet completed
(no icon)Pending — reminder is in the future

Marking a Follow-up Complete

Click the status toggle button next to any follow-up to mark it as Completed or back to Pending. The icon updates immediately.

Follow-up List Order

Follow-ups for a client are sorted by reminder date, newest first. This puts your most recently added upcoming actions at the top and pushes old completed ones to the bottom.

Upcoming Follow-ups in the Menu Bar

The menu bar extra shows a Upcoming Follow-ups section listing up to 5 follow-ups due within the next 3 days across all clients. Overdue items are highlighted in red. This lets you see what needs attention without opening the main window. See Menu Bar for full details.

Tips for Effective Follow-ups

  • One action per follow-up — keep subjects specific (“Send revised proposal”, not “Deal with Project X”) so you know exactly what to do when the reminder fires
  • Set realistic reminder times — pick a time of day you’re likely to be at your desk, not midnight
  • Mark complete promptly — completed follow-ups stay in the list as a record; marking them done keeps your Upcoming Follow-ups list clean and accurate
  • Use the Contact Date field — recording when you last reached out creates a useful timeline of communication for each client
